The Opportunity

We are hiring a Proposal & Grant Writer to help us secure non-dilutive funding, grants and strategic program opportunities that accelerate our R&D, product development, and market expansion in Canada and key allied markets. If you enjoy turning complex technical ideas into clear, persuasive narratives that win funding from government programs and strategic partners, this role is for you.

What You'll Do

  • You will own the lifecycle of grants, funding and strategic proposal efforts—from opportunity scan through submission and reporting
  • Identify and qualify funding opportunities 
  • Research and track federal, provincial, municipal and allied-government grants, innovation programs, and defense-related funding calls aligned to Malleum’s mission and capabilities
  • Maintain a rolling 12–18 month calendar of calls for proposals, grants, and key defense/innovation funding deadlines (e.g., ISED, NSERC, DRDC, DoD-style innovation calls, SBIR/STTR equivalents where applicable)
  • Analyze solicitations and grant guidelines to determine eligibility, fit, level of effort, and win probability
  • Lead proposal and grant development 
  • Drive the full proposal lifecycle: concept note, outline, narrative, budget inputs, reviews, final submission
  • Work with technical leads (offensive security, IR/DFIR, infrastructure/ZTNA, GRC) to extract the problem statement, technical approach, work plan, and risks, and translate them into clear, compelling narratives
  • Structure proposals to meet funder requirements: objectives, outcomes, work packages, milestones, staffing, budget, performance metrics and evaluation plans
  • Tailor language and emphasis to each funder (innovation vs. defense vs. economic development), while preserving technical integrity
  • Coordinate inputs and ensure compliance 
  • Develop and own internal proposal schedules, including content deadlines, reviews, approvals, and submission dates
  • Coordinate contributions from technical staff, finance, contracting, and leadership; ensure all documentation is complete, accurate, and compliant with formatting and submission rules
  • Build and maintain a library of boilerplate content (company descriptions, capability statements, past performance, CVs, standard work plans) to improve speed and consistency
  • Reporting and post-award support 
  • Support the preparation of reports to funders: progress updates, outcomes vs. KPIs, financial summaries (with Finance), and impact narratives
  • Track obligations and key dates for funded programs (reporting, renewals, extensions, close-out documentation)
  • Contribute to BD and strategy 
  • Provide concise opportunity briefs to leadership that summarize the funding call, strategic relevance, risks, and recommended approach
  • Advise on how grant and funding opportunities can de-risk new capability development, regional expansion (e.g., space, aerospace, international defense markets), or strategic hiring
  • Help refine our internal processes and tooling for pipeline management, knowledge management, and metrics

What You Bring

We care most about your ability to think clearly, write persuasively, and manage complex deliverables under tight timelines.

Experience 
  • 8–12 years of experience in grant writing, proposal development, RFP/RFI responses, policy writing, or technical writing for complex programs.
  • Proven track record contributing to successful proposals or grants (e.g., innovation funding, defense R&D programs, economic development, or similar).
  • Exposure to cybersecurity, defense, dual-use technology, or complex engineering domains is a strong asset but not a strict requirement.
Skills 
  • Exceptional writing and editing skills: concise, structured, and persuasive.
  • Strong analytical ability to read a solicitation, understand what the funder really cares about, and shape the proposal accordingly.
  • Comfortable working with numbers, budgets, and outcome metrics; able to integrate data into compelling narratives.
  • High level of organization and project management; able to juggle multiple concurrent deadlines and stakeholder inputs
Mindset 
  • Bias for clarity, ownership, and follow-through—once you commit to a deadline, you drive it to completion.
  • Low-ego collaborator who can work directly with senior technical leaders and busy executives.
  • Motivation to contribute to missions with national security and public safety impact.
  • Eligibility for Government of Canada security clearance (Secret or higher); existing clearance highly valued; or controlled-goods registration considered an asset
  • Bilingualism (English/French) considered a strong asset
